Why every call matters
You are the first real conversation a client has after they sign with us, and the interview you complete becomes the file that the entire firm works from. The case manager, the appeals team, and the hearing team all build on what you capture. When your interview is accurate and complete, you set the whole claim up to succeed. When a detail is wrong or missing, it follows the client for the life of the case.
That makes this the most important data you will ever collect for someone. It is also a hard call: it is long, it is detailed, and the client is often sick, in pain, or worried. Doing it warmly and getting it exactly right, at the same time, is real skill.
The call, start to finish

Get it exactly right
Accuracy is the job. A wrong Social Security number or a missing provider does real damage down the line. Three habits, every call:
- Spell the name back exactly as it appears on the Social Security card, including suffixes.
- Read the Social Security number back slowly and confirm it. Never assume the pre-filled value is right.
- Ask "any others?" twice. Providers, medications, conditions. The one they almost forgot is often the one that matters.
"Why does everyone keep calling me?"
Clients get confused about who is calling and whether it is delaying their case. Answer with calm confidence. Never suggest we might be a different company:
- Be certain who we are. "You are with Newlin Disability. We are your firm, and I am the specialist filing your application."
- Explain the departments. "Different members of our team handle different steps. That is us working your case, not a delay."
- Reassure and refocus. "You do not need to do anything with other callers. Let's finish this and get you filed today."
Warmth through a long call
These calls are long, and the client is often unwell or anxious. Patience is part of the standard:
- Never rush an answer. "Take your time, there is no rush." A confused client gives better information when they are calm.
- Meet them where they are. If a family member needs to relay medications, welcome it. If English is hard, slow down.
- Recognize a client in the wrong place kindly. If they are already approved or in appeal, reassure them and route to the right team without making them feel they did something wrong.
